Global Assistant Guide

In the KI-Workplace, you’ll find pre-installed assistants called “Global Assistants”. They can make everyday tasks easier for you or improve the quality of the AI’s responses.

Where to find them

In the chat view, click on “Assistants” at the top and select one of the Global Assistants at the end of the list.

If a Global Assistant is missing: There are two possible reasons: your admin has deactivated it, or you have hidden it yourself. For a complete list of all assistants, click on your name at the bottom left of the chat view and select “Assistant & Model settings”. Under “Action” you can show or hide each assistant.

Overview of the Global Assistants

Here is an overview of the currently included assistants. This list will continue to grow.

Document Analyst

Analyzes documents (e.g., Word, PDFs, presentations), explains what type of document it is, summarizes its key points, and provides an evaluation of its content.

Email Reply Generator

A natural-sounding email assistant. It analyzes emails in detail and formulates authentic replies that feel like real human communication.

KI-Workplace Support

Provides information about the KI-Workplace and helps you with questions about usage, assistants, knowledge, prompt suggestions, and common issues. It also gives you useful tips and information related to the KI-Workplace.

Prompt Generator

Helps you create an effective, comprehensive prompt for more complex AI tasks, which you can then use in the assistant form in a second step. This not only saves time — the AI is also very good at remembering all important aspects of a complex prompt.

Example: “Generate a prompt for an assistant that responds to customer support emails. Make sure the assistant asks a follow-up question if something is unclear.”

Tip: If something is missing, give the Prompt Generator feedback. In the dialogue, you can refine the generated prompt further.

Standard Assistant

The Standard Assistant provides more complete answers than normal chats.

The KI-Workplace models respond briefly and with focus, and have no additional instructions so that they remain as unbiased and universally applicable as possible.

This assistant, however, is instructed to be as helpful as possible in the conversation through well-founded, fact-based answers or an appropriate follow-up question. Give it a try!
